Board Roles and Responsibilities
Below are the current openings we have for new Board Members to join our team at Indy Hygiene Hub!
Vice President: The Organizer and Facilitator
The Vice President supports the President in leading the board and ensures continuous engagement and coordination among board members.
Key Responsibilities:
- Assist the President in leading monthly board meetings.
- Work with the board to produce meeting agendas.
- Facilitate weekly check-ins with board members.
- Ensure all roles are fulfilled and assist as needed.
- Propose changes to the Personal Care Pantry Policies & Procedures Manual for board approval.
Treasurer: The Asset Manager
The Treasurer manages the financial records and ensures the financial health of the organization.
Key Responsibilities:
- Document all financial transactions in QuickBooks.
- Present monthly financial statements to the board.
- Develop the annual budget based on prior spending and future goals.
- Monitor financial security and report potential budget issues.
- Pay open invoices to vendors and suppliers.
Secretary: The Recordkeeper
The Secretary maintains detailed records of all board activities and communications.
Key Responsibilities:
- Document meeting minutes and notify the board of their availability.
- Develop and distribute monthly meeting agendas.
- Send thank-you notes for all donations.
- Distribute newsletters and volunteer information.
- Maintain and organize the shared Google Drive.
- Respond to incoming emails and web inquiries.
- Propose updates to the Personal Care Pantry Policies & Procedures Manual.
Volunteer Coordinator: The Team Leader
The Volunteer Coordinator is responsible for managing and coordinating all volunteer activities within the organization.
Key Responsibilities:
- Recruit and schedule volunteers for Personal Care Pantry Days and other events.
- Follow up with new volunteer leads and train volunteers.
- Coordinate volunteer efforts and assign tasks at events.
- Work closely with the Database Manager to maintain volunteer information.
- Utilize Sign-Up Genius and MailChimp for volunteer communication.
- Send quarterly appreciation emails to volunteers.
- Draft newsletters about volunteering for the IHH website and email database.
Stewardship Director: Fundraising
The Stewardship Director executes community and fundraising even.
Key Responsibilities:
- Create and maintain a schedule of community and fundraising events for the year.
- Ensure timely planning and preparation for each scheduled event.
- Develop and implement strategies to increase contributions from new and existing donors.
- Divide and assign specific event planning and fundraising tasks to team members.
- Serve as the liaison between vendors, the board, and volunteers for event-related issues.
- Provide information to the Secretary of the Board and/or Marketing Director for Thank You cards or online recognition.
- Collaborate with the Operations Director and Marketing Director to staff events with volunteers.
Operations Coordinator: Efficiency
The Operations Coordinator supervises and directs the operations of the organization, ensuring efficient management and oversight.
Key Responsibilities:
- Maintain a general understanding of the total inventory in the Personal Care Pantry and oversee quarterly inventory assessments.
- Ensure that Personal Care Pantry Policies & Procedures are up to date and correctly implemented during Pantry Days.
- Monitor and direct the day-to-day operations of the organization, ensuring adherence to established policies and procedures.
- Collaborate with other coordinators and directors to ensure smooth operation of the Personal Care Pantry and related activities.
